How to Scale Your Business When There Are No More Hours in the Day: 3 Simple Steps
How often do you find yourself stuck – unable to move forward because you’re too busy doing repetitive day-to-day tasks.
If you’ve ever felt like there aren’t enough hours in the day to focus on growth, you’re not alone.
Research shows that small business owners spend anywhere from 30 to 60 hours a month on repetitive, administrative tasks like responding to enquiries, sending contracts, onboarding clients, or chasing invoices.
That’s time you could use to develop new ideas, attract more clients, or simply enjoy your life outside of work.
So how do you break free from the overwhelm and scale your business?
In this blog post, I’ll share 3 simple steps that helped me create the time to scale my own business – and how I can help you do the same.
Time – The Ultimate Business Bottleneck
Imagine having an extra 40 hours a month.
What would you do?
Focus on marketing?
Create a new product?
Finally book that long-overdue massage?
The truth is, time isn’t just a resource; it’s the most critical factor holding back business growth.
When you’re maxed out managing client onboarding, contracts, invoicing, and emails, there’s little room left for the big-picture work your business needs to thrive.
This was my reality a couple of years ago.
My business was growing, but I was so bogged down with admin that I couldn’t find the time or energy to make meaningful progress.
Something had to change.
My Journey From Overwhelmed to Organised
In 2019, I launched my own business as a Virtual Assistant – with zero savings and a makeshift website. Fast forward to today, and I’m running a thriving Online Business Management company.
But, it wasn’t all plain sailing. I got to a point a couple of years in where I was seriously considering giving it all up and going back to being employed.
How did I turn it around? I implemented these 3 steps…
Step 1: Organising the Chaos
It’s hard to make any kind of change, or progress when you feel totally out of control and chaotic.
For many of us, after a few years in business, we realise that we can no longer keep cobbling together our systems and processes like we did at the start and so the first step to scaling your business is to get organised.
Disorganisation doesn’t just create stress; it wastes time.
If you’re spending hours each week hunting for documents or manually managing client contact, you’re losing valuable time that could be spent growing your business.
What I Did
When I realised my “organised chaos” was holding me back, I took a much needed step back so I could get a handle on my current situation.
I started off by reviewing all of my business processes: What was working and what wasn’t? Where was I spending way too much time?
Then, I looked at the services I was offering. I was trying to please everyone and, in the process, I was drowning. So, I thought about the type of work I really loved to do and stripped back my services to create a really simple offering.
Next, I mapped out my desired client journey for each of these services so that these clients who I’d worked so hard to get, would have such a great experience with me, they wouldn’t want to leave me!
Finally, I looked at all of the systems and platforms I’d signed up to over the years, and cancelled all of the ones I wasn’t using properly or those where I could find more cost-effective alternatives.
This exercise allowed me to see where I could streamline and simplify, which brings us to the next step.
Step 2: Streamlining Processes
Imagine if your business had an automated system to manage new enquiries and new client sign-ups without you having to lift a finger – what difference would that make for you?
The first step of ‘organising my chaos’ showed me that this is what I needed because this where I was spending way too much of my time.
What I Did
I invested in Dubsado, a customer relationship management (CRM) platform that allows you to automate workflows. Here’s how it works:
- Automation: When a potential client enquires about my services, they’re automatically sent a personalised email with a link to book an intro call.
- Streamlined Onboarding: Once they decide to work with me, Dubsado handles everything from contracts to invoices to welcome emails.
- Client Portals: Each client gets their own portal, which keeps all their documents and communications in one place.
The result? I got back a full DAY a week and created a seamless, professional experience for my clients.
Step 3: Attracting the Right Audience
With my day-to-day tasks under control, I could finally focus on the strategic work of attracting and converting ideal clients.
Because I’d started out as a Virtual Assistant but wanted to move into the Online Business Management space, I needed to attract a slightly different audience.
I needed to find business owners in the same position as myself – been in business for a few years, been just about managing with free online tools and getting to a point where I couldn’t grow any more because everything was too messy and there was no space to grow.
What I Did
I created a lead magnet to build my email list and nurture potential clients.
I knew I needed to capture people who were at the point of needing something to change but not being quite sure on how to go about it.
So, I created a video series and workbook all about organising business processes which offered real value to my ideal audience.
Here’s how I set it up:
- I used Canva to design a professional-looking workbook.
- I hosted the videos on Vimeo and used Mailerlite to deliver them through a series of automated emails.
- The email sequence included actionable tips and a special offer for my services.
This simple funnel allowed me to build trust, showcase my expertise, and convert subscribers into paying clients – all without me having to do a thing!
How These Steps Transformed My Business
By following these three steps, I achieved:
- More Time: Automating my processes freed up 15+ hours a week.
- More Revenue: I grew my client base without working more hours, significantly increasing my turnover.
- Work-Life Balance: I now work three client-facing days a week, leaving Mondays and Fridays for personal and professional development.
